GENERAL TERMS & CONDITIONS.

Cancellation and Refund Policy.

Return policy: Cancellation by Client

Return policy for Kinyeti Wild Tours does understand that there are Force majeure that may prevent a traveler from

fulfilling his/her travel plans. Our cancellation policies are made in such a way that compromises

both parties. While keeping in mind that the tour’s payment is a fundamental part that contributes

to the overall costs of equipment’s running costs, tour permit processing, staffing, and

administration. In such cases, Kinyeti Wild Tours reserves the right to impose cancellation charges as

below;

 Canceling your bookings 30-90 days before the start of the tour. We’ll give a full refund with

bank transfer charges to be costed to you. And in some cases, if you want to extend your tour

to another date, we don’t restrict it, you can choose your favorite time, and the amount you

have paid to us remains as credit for your next tour.

 Canceling your bookings 15-30 days before the start of the tour. Kinyeti Wild Tours will give a

refund after making deductions used to process the tour permits. The money paid for

permits is paid to the government and so cannot be got back.

 Canceling your bookings 6-15 days before the start of the tour. You will be charged 50% of the

tour price.

 If you cancel your bookings within 48-72 hours, you will be charged 70% of the tour price

 If you cancel your bookings within 24 hours or don’t show up, you will be charged 100% of the

tour price.

Once the tour has started, no refund will be given for any unused portion or part of the tour

or service. If you want to make any changes to the tour or depart early, such

alternations or departures will be entirely at your expense and liability. You are advised

to communicate in writing to our office or group leader early your reasons for leaving

the tour, and there we may plan how to place a compromise.

Travelers who cancel their bookings due to medical reasons, flights cancellation, natural

disasters or border restrictions, and have notified our office 2-7days early, Kinyeti Wild tours

will extend the tour to another time, or you decide to extend it to your friend or family if

possible, and if not possible, we will give a full refund with a deduction of the costs of the tour

permits processing.

FREE CANCELLATION.

Kinyeti Wild Tours offers free cancellation as below;

You can freely cancel your bookings within 60 days and above to the start of the tour

or after confirmation.

The client can freely cancel his/ her bookings within 24-72 hours after confirmation.

Canceled or alterations to the tour by us.

In any circumstances, Kinyeti Wild Tours reserves the right to cancel the tour and /or make

changes to the travel arrangements at any time before full payment has been received. If your tour

is canceled or changed and/or an alternate departure date is offered, we will notify you in writing as soon as possible. In such cases, we will offer comparable alternative arrangements, whilst

the amount you have paid to us remains as a credit to be used for an alternate date or changed tour, if possible, but if not, we will make an appropriate refund to you commensurate with the time of the

change.

PICK-UP AND DROP-OFF SERVICES.

Kinyeti Wild Tours offers pick-up and drop-off services for most of its tours. Our clients are

advised to read the tour description very well to see if the above services are Included in the

price can be added as extras or an activity.

As travelers, you are responsible for your pick-up by providing Kinyeti Wild Tours with

your pick-up time and location, as well as being ready at the correct time for the pick-up of

your tour. Kinyeti Wild Tours will provide you with information about the meeting points

for your tour on the voucher provided upon booking. And if you are unsure of your

arrival or delay of flight time for your scheduled tour, then please notify our office within

24-72 hours before your departure time.

In cases of Kinyeti Wild Tours failing to make it to the meeting point at the scheduled time,

and the client pays for another service provider to reach the starting destination for the tour

, we will be responsible for a full refund of the service fee. If you, as the travelers do not arrive in time for your tour and/ or are late to the meeting point of

the tour, that is to say, you do not arrive at the correct meeting point at the correct time

for your tour, and you didn’t notify our office earlier, then you are not entitled to a refund of

the price paid for the pick-up service.

 

TRAVEL INSURANCE

Kinyeti Wild Tours does not provide any travel insurance to its clients but rather advises that travelers, purchase a travel insurance policy in their home countries that cover their cost should they have to cancel their bookings on short notice.

WEATHER CONDITIONS.

All safari, hiking, mountaineering, trekking, and cultural adventures are

dependent on weather and general conditions. Kinyeti Wild Tours reserves

the right to alter routes, itineraries, and departure times while maintaining the

travellers’ point of interest and course with your safety in mind should

the necessity arises.

In cases of not possible to organize your tour because of adverse weather

conditions and other natural disasters beyond our control, Kinyeti Wild

Tours will notify you of the situation within 24-72 hours and probe for

maybe an extension of the time for the trip or cancel with a full refund. Please remember that South Sudan’s temperatures are hotter

day and night. (Around 18-26°c). But our guides are well-versed in how to

help you through, and their number one priority is to make decisions with

your safety in mind. And be aware to respect your guide’s decisions while on your tour.

 

CLOTHING.

Appropriate footwear and suitable outdoor clothing must be worn. For our case, we advise our clients to dress in light or hot weather-friendly clothing.

We also don’t recommend mini skirts/or short dresses and tight transparent

clothes while on a cultural tour. We reserve the right to refuse participation to clients dressed inappropriately since this will risk the client’s well-being and safety.

Kinyeti Wild Tours cannot be responsible/ held accountable for any loss, damage, accident, injury, sickness, schedule change, or any other factors due to weather, strike, natural disasters, and all other weather conditions beyond our control.

 

RISKS.

Our guides reserve the right to refuse participation to any client they believe cannot complete the tour because of their physical condition, injury, or illness. In such

cases, full cancellation with an appropriate refund will be considered accordingly. We do advise

that travelers should notify our office earlier about their health conditions, such that

we can decide on the basis for managing or canceling the booking if we find it difficult to

handle.

We reserve the right to refuse participation to clients who are physically and verbally

abusive or if they threaten staff members or fellow travelers in any other way. In

such cases, full cancellation charges apply.

We cannot accept any liability or pay compensation where the performance or completion of the tour of our contractual obligations is prevented or affected by Force majeure on you, suffer any damages or losses incurred as a result of Force majeure which our supplier offering services in question or we could not even with all due care foresee or avoid. This includes war outbreaks, strikes, riots, terrorist threats, outbreaks of epidemic diseases, natural disasters, and weather conditions, technical problems with transport, and all that’s beyond our control.

ALCOHOL AND DRUGS

Kinyeti Wild Tours reserves the right to refuse participation to clients whose conduct s or

manners we believe are under the influence of alcohol or drugs and likely to offend,

upset, or put other travelers in danger. In such circumstances, full cancellation with no

refund will be applied.

TERMS OF PAYMENT.

Kinyeti Wild Tours accepts payments from Bank wire / Bank transfers to its account, which

details will be given after your booking confirmation. And in cases where travelers from

some countries find it difficult to make Bank transfers, we accept that you pay fully on arrival

before the start of the tour.

We only accept payments in US dollars. Our clients are also advised to have their extra

money for personal use in US dollars.

We require that clients pay an advance of 50% of the tour price after confirming your bookings

and clears the balance within 24-72 hours before the start of the tour.

TRAVEL TIMES.

We do recommend the following months of the year for our clients to make their bookings

as we believe these are the best times to travel and have your experience in South Sudan.

 

Passport and other travel documents.

Kinyeti Wild Tours advises all travelers booking with us should take responsibility for securing proper travel documents before joining the tour. We are not responsible for issuing any travel documents from your home countries, but we can assist you in the guidance to process e-visa and other necessary permits for our countries of operations.

 

Passports are required. And please ensure that your passport is valid for a minimum of 6 months beyond the intended return date and contains between 4-6 blank visa pages.

 

You must travel with your yellow fever vaccination card, covid 19 vaccination card, and other necessary documents to your travel destinations. If you do not have covid vaccine cards, get negative covid 19 tests from your departure destinations within 24 hours to arrive at your tour destination.

 

Kinyeti wild tours will not be liable for any inconveniences you will undergo due to the missing required travel documents, and if you have notified our office 24-72 hours before the arrival date, we will walk together to ensure that you are given the necessary assistance that can be of our capacity.

Kinyeti Wild Tours welcomes positive and negative feedback as it helps us improve

our overall services and performance. We would highly appreciate your sharing your tour experience with us. Complaints must reach our management 5 days from the completion of the tour.
